Your tasks

The purpose of this position is to support line managers and others by carrying out and coordinating all administrative tasks and to act as a link between internal and external contacts and the administration. You prepare and maintain documents, and ensure their timely production and correct formatting. You also maintain databases and filing systems. Other main duties include taking care of all logistical aspects of meetings, maintaining websites, and handling routine office tasks such as calls and internal and external requests. You will also be tasked with keeping travel arrangements in order, and dealing with budgetary matters. If needed you provide backup for your colleagues, and participate in projects if requested.

Your profile

  • A-levels, two-year secretarial diploma or equivalent
  • prior administrative experience, especially in a financial institution, is an advantage
  • good formatting and graph production skills
  • good aptitude for IT, interest in learning new skills
  • a tactful, multi-tasking, fast learning team player
  • ability to produce high-quality work even when under stress while remaining calm, efficient and flexible
  • good organisational and time management skills, accuracy, speed, attention to detail
  • ability to work in close collaboration with colleagues
  • readiness to step in at peak periods
  • excellent communication skills in English, ability to edit texts is essential
  • knowledge of German or another major language advantageous
